Essa Ledger is the internal business app of ESSA Energy Resources (Pvt) Ltd and ESSA Coal Mining Company ("Essa", "we"). Staff use it to record coal deliveries, trucks, weighbridge (kanta) weights, bilty documents, purchase orders and invoices. The Android and iPhone apps are published by Razex Solutions LLC on Essa's behalf. Essa decides what data is kept and why.

The app is only for people who have been given a login by Essa. There is no public sign-up.

What we collect

• Login details: the name, username and (optionally) phone number that Essa enters when creating a staff login, plus the time of the last login. Passwords are stored only in hashed form. We cannot read them.
• Business records staff enter: truck and driver details, loading and delivery dates, kanta weights and slip numbers, bilty numbers, customers, suppliers, transporters, rates, purchase orders, invoices and payments.
• Photos and documents: photos of kanta receipts, bilty documents and other files that staff choose to take or upload, plus company letterheads and signatures uploaded by the owner.
• Security logs: which login created, changed or deleted a record, when it happened, and the IP address it came from. Failed login attempts are also logged to protect accounts.

We do not collect location, contacts, advertising IDs, or browsing activity. The app has no ads and no third-party analytics or tracking.

Camera and files

The app asks for camera access only so staff can photograph kanta slips, receipts and bilty documents. Photos are taken only when the user taps a button, and only the photos they choose are uploaded. When a user shares or saves a PDF, the phone's own share screen is used, and the user picks where it goes (for example WhatsApp or Files).

How we use the data

• To run Essa's coal supply operations: tracking trucks, weights, stock, bilty and deliveries.
• To prepare sales tax invoices, ledgers and supplier and transporter accounts.
• To keep logins secure and to have a record of who changed what.

We do not sell data and do not use it for advertising.

Who can see it

Only logged-in Essa staff, and each role sees only what it needs. For example, yard staff do not see prices or money. The data is not shared with anyone else except:

• Hosting: the data and files are stored on Essa's web hosting server (Hostinger), which stores them for us and does not use them for its own purposes.
• Optional slip reading: if Essa switches on automatic reading of kanta slips, the slip photo is sent to Anthropic's Claude service to read the numbers, and the result comes back to the app. Anthropic processes it under its commercial terms and does not use it to train its models.
• Documents staff send themselves: invoices and bilty PDFs are sent to customers or transporters only when a staff member chooses to share them.
• Where the law requires it, for example tax authorities.

Security

All traffic between the app and the server is encrypted (HTTPS). Uploaded files are stored outside the public website folder and can only be opened by a logged-in user. Logins lock for 15 minutes after 5 wrong passwords, and the owner can switch off any login, which ends that person's access at once.

How long we keep it

Business and tax records are kept for as long as Essa needs them for its accounts and for the periods required by Pakistani tax law. When a staff member leaves, their login is switched off. Records they entered stay as part of Essa's business history.

Your choices and deleting data

Staff can ask Essa to correct their details or to remove their login and personal details (name and phone). Email trading@essaenergygroup.com (or the app publisher at info@razexsolutions.com) with the subject "Essa Ledger data request". We reply within 30 days. Records Essa must keep by law (such as invoices) may be kept after a login is removed.

Children

The app is for Essa's adult staff only and is not meant for children.

Changes
